IMPORTANT

  • Contact Susan Preece about requested event date(s) and to confirm event form submission.
  • Events are only official when event form is completed and event date(s) are confirmed on master calendar.
  • Allow adequate time for the event request to process.
  • Evaluate the return on investment.
  • Receive proper approval from ministry leader.
  • Deadline for all promotion materials (artwork, text, photos, and meeting with Communication & Publication Director) is four weeks before materials are needed. For internal or external printing, PDF files are provided for ministry areas before final publication.
  • Production for event promotions begins after meeting with publication team and receiving approval for budget expenses.
Attach relevant files related to this event or program. Send raster images (PNG, JPG) or a PDF. Export Publisher documents to a PDF.

Guidelines for Submitting an Event Request Form

  • Events are only official when event form is completed and event date(s) are confirmed on master calendar.
  • Allow adequate time for the event request to process.
  • Evaluate the return on investment.
  • Receive proper approval from ministry leader.
  • Deadline for all promotion materials (artwork, text, photos, and meeting with Communication & Publication Director) is four weeks before materials are needed. For internal or external printing, PDF files are provided for ministry areas before final publication.
  • Production for event promotions begins after meeting with publication team and receiving approval for budget expenses.
  • Download the Fellowship Hall Room Layout to draw table placement. Upload the Layout into your request form, if needed.
If event takes place over multiple dates and has varying times, please list all dates and times. For example, Friday 6-9pm, Saturday, 10am-2pm.
Include if there is a cost per person to attend.

Enter all the room numbers for classroom spaces needed, separated by a comma.
Select if you need the church office to create a registration form for your event.
Select the church building access needed for the event.
Select the custodial services needed for the event. Custodial services are required for all non-church sponsored events except funerals. $100 due at reservation. Additional $100 due before event.
Select if child care will need to be provided for the event.
Select if you need Kitchen Supplies. Kitchen Supplies are available to church ministries.
Select all the types of promotion the church office needs to create for the event. If you have created your own promotional materials and need the church office to print or post to social media, select "Use my promotional materials."
Write a 1-2 sentence event description for use in promotional materials and website calendar information. Descriptions may be edited as determined by the promotional purpose.
Describe any special design requests for the promotional materials such as event theme, event colors, logo(s) needed, etc. Include any printing information for using your own materials.

Select the sound needs for your event. Sound reinforcement is not guaranteed and must be confirmed by the music minister, and is dependent upon personnel availability.
